Automation of the vehicle rental process

Challenge

Oslo Bilutleie AS faced challenges with manual and time-consuming rental processes. Key areas required immediate optimization: financial settlements, online booking management, and customer communication. The goal was to implement a central system that would automate these processes, reducing administrative burdens and errors.

Solution

Implementation of the ERPSPACE NO-CODE AGENTIC AI platform, including the dedicated RENTAL module. The project focused on deep integration of the platform with key external systems, creating an automated operational ecosystem.

Key Implementation Elements:

• Integration with 24sevenoffice: Ensured the automatic transfer of financial documents (invoices, payments) to the 24sevenoffice accounting system, popular in Norway, eliminating manual data entry.

• Integration with Toll & Gate System: Implemented automatic retrieval and settlement of toll and road gate costs, which are instantly and automatically assigned to the specific rental and customer.

• Integration with WooCommerce: The ERPSPACE system updates vehicle fleet availability on the company's website in real-time, allowing customers to make online bookings 24/7.

• Integration with Payment System: Enabled customers to make secure mobile and online payments (pre-authorization, final payment) before the rental period begins.

• Integration with SMS Module: Automated customer communication by sending notifications regarding vehicle delivery times, booking status, and rental conclusion reminders.

Results

The implementation of ERPSPACE NO-CODE AGENTIC AI fundamentally transformed the operational model at Oslo Bilutleie. The automation of financial settlements and road costs drastically reduced the time required to close a rental agreement. Integration with WooCommerce and the payment system streamlined the booking process, increasing customer satisfaction and online conversion.
